Integrating HostelWorld with BookersDesk

This document explains the entire process of connecting and configuring your property on HostelWorld through BookersDesk. Follow the steps below carefully to ensure a successful integration.

Steps to Integrate HostelWorld with BookersDesk

1. Requesting a Connection with HostelWorld

To activate the connection between HostelWorld and BookersDesk, you need to contact HostelWorld support and make an official request for the connection.

Steps to request the connection:

  1. Log into your email account and send a connection request to HostelWorld support.
  2. Your email should include the following information:
    • The hotel name as registered on HostelWorld.
    • (Hotel ID) on HostelWorld.
  3. After sending the email, wait for a confirmation from HostelWorld that the connection has been activated.

2. Configuration in BookersDesk

Once you have received confirmation from HostelWorld, enter the necessary details in BookersDesk to finalize the connection:

  1. Log into your account at BookersDesk and go to the OTA connections section.
  2. Find the option for HostelWorld and enter the required details:
  3. Enter the HW ID (property identifier in HostelWorld).
  4. Enter the API Password received from HostelWorld.
  5. Ensure that the selected currency for the property is Euro, as HostelWorld only supports this currency.
  6. Click the Save button to complete the configuration.

3. Linking Rooms

After entering the property details, you need to link individual rooms with the HostelWorld system:

  1. For each room in BookersDesk, enter:
    • Room Code as registered in HostelWorld from the Get Codes option.
    • Rate Code for the corresponding room from the Get Codes option.
  2. Enable synchronization for bookings, rates, and inventory by selecting the corresponding options.
  3. Repeat this process for each room you want to manage through BookersDesk.
  4. Click the Save button to save all changes.

4. Activating Rate Plans

For BookersDesk to manage room rates and availability on HostelWorld, configure the rate plans:

Rooms are automatically linked to the system’s main rate plan (Main Rate Plan). If you want to use a different rate plan, follow the steps below:

Using a new rate plan:

  1. Go to the section Rates > Daily Rate Management.
  2. Select the desired rate plan that you want to link with HostelWorld.
  3. Click the Get Code button to obtain the rate plan ID.
  4. Click the Save button to save all changes.

Then, return to the OTA Management > HostelWorld page:

Click the “Update Room” button for each listing to sync rates according to the new rate plan.

5. Disconnecting the Property

If you want to disconnect the property, click the “Disconnect Property” button at the bottom, and the connection with HostelWorld will be terminated. You will no longer be able to make changes in BookersDesk.

Benefits of Integration

After following these steps, the integration of HostelWorld with BookersDesk will be fully functional, allowing automatic management of bookings, rates, and inventory.
