This document explains the entire process for connecting and configuring your property on HostelWorld through BookersDesk. Follow the steps below precisely to ensure a successful integration.

Steps for HostelWorld Integration in BookersDesk

1. Requesting Connection to HostelWorld

To activate the connection between HostelWorld and BookersDesk, you need to contact HostelWorld support and make an official request for connection.

Steps to request the connection:

  1. Log in to your email account and send a connection request with BookersDesk to HostelWorld support.
  2. In the email, include the following information:
    • The hotel name as registered on HostelWorld.
    • (Hotel ID) on HostelWorld.
  3. After sending the email, wait for a confirmation from HostelWorld that the connection has been activated.

2. Configuration in BookersDesk

Once you receive the confirmation from HostelWorld, enter the necessary details in BookersDesk to finalize the connection:

  1. Log in to your account on BookersDesk and go to the OTA connections section.
  2. Find the option for HostelWorld and fill in the required information:
  3. Enter the HW ID (the property identifier on HostelWorld).
  4. Enter the API Password received from HostelWorld.
  5. Ensure the selected currency for the property is Euro, as HostelWorld only supports this currency.
  6. Click the Save button to complete the configuration.

4. Connecting Rooms

After setting up the property details, you need to connect the rooms individually with the HostelWorld system:

  1. For each room in BookersDesk, set:
    • Room Code as registered on HostelWorld from the Get Codes option.
    • Rate Code for the respective room from the option
  2. Enable synchronization for bookings, prices, and inventory by selecting the corresponding options.
  3. Repeat this process for each room you want to manage through BookersDesk.
  4. Click the Save button to save all changes.

5. Activating Rate Plans

For BookersDesk to manage the pricing and availability of rooms on HostelWorld, configure the rate plans:

Rooms are automatically linked to the system’s main rate plan (Main Rate Plan). If you wish to use a different rate plan, follow the steps below:

Using a New Rate Plan:

  1. Go to the Rates > Daily Rates Management section.
  2. Select the desired rate plan you want to link with HostelWorld.
  3. Click the Get Code button to retrieve the rate plan ID.
  4. Click the Save button to save all changes.

Then return to the OTA Management > HostelWorld page:

Click the “Update Room” button for each listing to sync the prices according to the new rate plan.

6. Disconnecting the Property

If you wish to disconnect the property, click the button at the bottom “Disconnect Property”, and the connection with HostelWorld will be terminated. You will no longer be able to make changes in BookersDesk.

After following these steps, the HostelWorld integration with BookersDesk will be fully functional, enabling automatic management of bookings, pricing, and inventory.
